The protection of your personal data is important to us. Below, we inform you about the collection of personal data when using our xWiki. Personal data refers to any data that can be related to you personally, such as your name, address, email addresses, or user behavior.

Purpose and Legal Basis of Processing

xWiki is used as a collaborative knowledge platform in the context of our software solutions. The platform supports documentation, knowledge transfer, and internal communication related to software usage.

Registration is required to use the platform. The legal basis for processing the personal data you provide is Art. 6(1)(b) GDPR, i.e., the user relationship established by your registration.

If you voluntarily disclose personal data while using the platform, this data will also be processed.

If you prefer not to make your real name or email address visible to other registered users, you may register using a pseudonym or alias, and/or use an email address that does not allow direct identification. (Please note: a valid email address may be required for system notifications.)

Data Recipients and Transfers to Third Countries

Within the wiki, registered users can view the profiles of all other users, including username, first and last name, and email address — unless users have registered under a pseudonym.

The technical maintenance and administration of the wiki are carried out by our partner company N4 Management und Services GmbH. As they may (unintentionally) gain access to user data, we have concluded a data processing agreement with them.

The wiki is hosted in a data center with which we also have a data protection agreement.

There is no intention to share data with recipients outside the platform or to transfer data to third countries.

Data Retention Period

We generally store your personal data as long as your registration is active or until the user relationship otherwise ends. After that, data may be stored until the expiration of statutory limitation periods (generally three years, according to §§ 195 ff. BGB), and for compliance with legal obligations under the Commercial Code (HGB) and the Fiscal Code (AO).

Necessity of Providing Personal Data

Providing personal data in the context of using xWiki is neither legally nor contractually required. Therefore, you are not obligated to provide personal data. We recommend providing only the data necessary for registration and use of xWiki.

Changes to this Privacy Policy

We reserve the right to adapt this privacy policy when necessary to comply with legal requirements or reflect technical changes. The current version is always available in xWiki.
